How to submit a tender bid on time

Prepare for online or physical submission, check your files and retain proof of delivery.

Find the submission date and time, any stated time zone and the exact delivery channel in the official documents. A deadline shown on an information site is only a starting point; check the official notice and any later extensions or changes.

For online submissions, check registration, identification and any electronic-signature requirements early. Confirm that you have the right permissions and can upload the required file types and sizes. Do not wait until the final day to discover that an authentication method is missing.

Prepare a final version of each file and check signatures, legibility and filenames. If technical and price proposals must be separate, preserve that separation in both the files and upload fields. Make sure you complete the final submission step rather than merely saving a draft.

For physical submissions, check the address, tender-box location, access hours, number of copies and envelope-labelling instructions. Allow for travel, security checks and actual delivery time; do not assume posting the bid or leaving it at reception meets the requirements.

Set an internal deadline earlier than the official one and retain proof of receipt where available. If a technical problem occurs, document it and promptly contact the designated support channel, but do not assume the problem grants an extension or permits an alternative submission method.
